Eliot Chapel's annual meeting of members will be held at 1:00 pm on Sunday, May 19. Join the Board of Trustees following the second service at 12:15 pm for sandwiches, chips, and drinks in Adams Hall before the start of the meeting. Childcare will be available until 2:00 pm.
This year the Board is aiming for a paperless meeting. Materials will be available on our website and emailed a few days before the meeting. The information will be projected on a screen in the sanctuary during the meeting.
The agenda for the annual meeting includes a budget presentation and approval of the consent agenda. The consent agenda is the only item on which members will be voting this year. The items on the consent agenda include approving meeting minutes from last year's annual meeting, minor changes to the bylaws, and new members to the Board of Trustees.
New Board Members
The Nominating Committee is pleased to share that Kathy Brunts, Jennifer Stauber, and Matthew Hull have been nominated for three-year terms on the board. David T. Cox has been nominated for a one-year term.

Proposed Bylaw Changes
The proposed bylaw changes include one clarification that members must complete current membership requirements before joining Eliot Chapel. One change will update the pronouns used in the bylaws from his or her to their. The second proposed change will allow people to resign their membership by providing written notice to Eliot Chapel (instead of the secretary of the Board of Trustees specifically). The third proposed change will offer clarity that the Board of Trustees can hold congregational meetings virtually. Read here for the proposed bylaw changes in their entirety.
How to Participate in the Annual Meeting
Plan to attend the Annual Meeting in person on May 19, watch it via the livestream or, if you are a member planning to vote, you can participate virtually via Zoom. Alternatively, you can appoint a proxy to cast a vote on your behalf.
Appointing a Proxy
Submit your proxy form to the Board Secretary no later than noon on Thursday, May 16. Proxies may be submitted by:

Only members of record will be allowed to vote. The term “Member" is defined in our bylaws, a copy of which is available at eliotchapel.org. A list of members will be posted in the hallway outside Adams Hall so that congregants can check to make sure they are listed as members. Any discrepancies with the list of members should be raised with the Director of Business Administration at admin@eliotchapel.org no later than 72 hours before the meeting begins.
